TERMS AND CONDITIONS CANCELLATION AND RESCHEDULING POLICIES

1. Non-Refundable Deposit

In some cases, an agreed upon deposit of 50% is paid at the time of booking to secure the date and is applied to the total balance.The deposit is non-refundable if the client cancels the booking regardless of the notice period.

If no deposit is paid , the cancellation terms below will be applicable.

CANCELLATION NOTICE PERIODS:

• ●  14 DAYS: If the event is cancelled 14 days out from the event, no fee will be

  changed to the client. Deposits if paid will be non refundable.

• ●  7-13 DAYS: This deposit will not be refunded in the event of a client cancellation within 7-13 days of an event. The client agrees to pay 50% of the total fee to cover admin fees and lost booking opportunities.

• ●  48 HOURS: Within 48 hours of the event. The client agrees to pay the full fee as cancellations at this late stage cannot be replaced. Cancellations made within 48 hours of the scheduled event will result in forfeiture of all payments made. This policy ensures compensation for the time and effort reserved for your booking, as last minute cancellations limit opportunities to secure alternative clients.

  As weekends are our busiest times of the week we aim to book these days fully to maximise availability and income.

  Please ensure that an inclement weather option has been established, as cancellations due to weather will not result in fees being waived.

  PAYMENT OPTIONS

• ●  Clients may choose to pay a deposit at time of booking to secure their date or pay the full fee closer to their event. If paying in full, cancellation fees will be deducted from the total amount paid, and remaining balance will be refunded where applicable.

• ●  If no deposit is paid, the client agrees to pay applicable cancellation fees as outlined above, based on the notice period.

Rescheduling Policy

Rescheduling may be accommodated based on availability, provided notice is given at least 14 days before the event. If rescheduling is requested less than 14 days prior, additional fees may apply.

Client Responsibility for Event Setup

For outdoor events, the client must provide a shaded and dry area for the artist to set up. Failure to do so may result in services being declined without refund.

Late Arrival or Event Timing Changes

If the event start time is delayed, the artist may not be able to extend services beyond the agreed-upon time. If additional time is requested and can be accommodated, an additional fee will apply.

If Holly Blossom Face and Body Art cancel the event due to an unforeseen circumstance including illness or emergency, all payments including deposits will be refunded in full , or a replacement artist will be arranged, where possible. Alternatively, another date can be selected if the client prefers.

PROFESSIONAL STANDARDS AND POLICIES FOR CLIENT AND ARTIST WELLBEING

1. At Holly Blossom Face and Body Art we only use approved, skin-safe cosmetic grade products, reactions are rare, but can occur. We are not held responsible for any skin reaction that may occur. People with sensitive skin should not participate. Persons who believe they may be sensitive may request a patch test 30 minutes prior to receiving services. Paints can be removed with soap and water, but some highly pigmented colours may leave a temporary stain, these may be removed with coconut oil or other oil-based skin cleansing products.
2. For safety reasons we have the right to refuse anyone who is unwilling, appears to be sick or suffering with a runny nose, coldsore/s, cough, conjunctivitis, ringworm, sunburn, eczema or any other infectious condition.
3.  It is recommended that children under two years receive a small paint design only, usually on the arm, and only if they are able to sit still for the painting.
4. We are not responsible for damage to clothing or any other items that paint may come into contact with. The client agrees to pay for damages to the artist's kit made by the client, guests at the event or pets.
5. Under NO circumstances will we be responsible for the supervision of children. Their behaviour and safety are the responsibility of the parent/ guardian. If the event is utilising our face painting services, it is recommended that there be additional entertainment to occupy guests waiting whilst painting is being conducted.
6. Booking an allotted time slot that is not sufficient to cover the number of attendees to the event may result in disappointment. If you require extra time, then a standard rate of $100 per hour, plus an additional rate of $10 per hour will apply. Please ensurethat you quote the correct number of attendees to your event and notify us if the numbers change prior to the commencement of your event.

7. Where we are painting an unknown amount of faces it is agreed that we will get through as many as we can in the given time frame, and may use simpler designs in order to be time efficient. If the client has informed us that there will be more guests than the amount we can paint per hour quoted, client agrees that we will utilise simpler designs and paint as many guests as possible. In this case we can not guarantee that every single guest will be serviced.

8. Holly Blossom Face and Body Art may take photos during your event. Images may be used for legal marketing purposes, such as but not limited to, social media, website and advertising. Please notify us should there be persons attending who do not wish for their/their child’s image to be used.

9. Holly Blossom Face and Body Art may deny services to persons who are aggressive, disorderly under the influence of alcohol/drugs or otherwise disruptive to the ambience of the service being provided.

10. Holly Blossom Face and Body Art withhold the right to leave an event without notice if they feel at any time that they are unsafe. This scenario would still require payment in full.

11. Paint designs vary in complexity and time. Not all designs seen on social media will be able to be accomplished at events where we are painting many faces in a short period of time. All of our designs are hand painted, this means that they may vary each time. We may also need to simplify or limit designs if time is beginning to run out. Our aim is to please however, so we will never create anything that we are not proud of.

12. Client agrees to provide shelter from the elements.

13. Please disclose if access to the event space requires stairs or steep hills/ driveways. In this event we may require assistance getting our equipment in and out of the space.
